Cayuse has broad adoption and a familiar footprint across research administration, with modules for proposal development, sponsored projects, compliance, and reporting. For an office that already runs several of its products and has the staff to coordinate them, it is a known quantity — and being a known quantity is worth something in a procurement process. Its market presence means peers to call, consultants who know it, and a hiring pool that has used it.

One platform, or several products
This is the whole comparison in one line. Streamlyne was built as a single system and every module lives inside it. Cayuse is experienced by many institutions as a set of products that each work, and that someone at your institution is responsible for making work together.
Who can change a form
The question to ask in the demo is not "can it do this" but "who changes it when we need it different". If the answer is a statement of work, that cost recurs for as long as you own the system.
Reporting your office actually runs
Streamlyne Reporting is a full BI tool inside the system, reading from a replicated database so heavy queries never slow the people doing the work. Over 130 reports ship ready to run, and building a new one is drag-and-drop or SQL — not a ticket.
AI that cites its sources
Lyn redlines an agreement against your institution's own policy language and names the policy it reasoned from. A suggestion you cannot trace is a suggestion a reviewer has to redo by hand, which is why the citation matters more than the redline.
Why institutions put these two side by side
Cayuse and Streamlyne Research end up on the same shortlist because they answer the same question: how does a research office run proposals, awards, and compliance without spreadsheets and shadow databases holding the whole thing together.
They answer it differently, and the difference is architectural rather than cosmetic. It shows up in year three, not in the demo.
Unified platform versus modular ecosystem
Streamlyne was built as one system. Every module — proposal development, system-to-system submission, negotiations, post-award, the institutional form builder, IRB, IACUC, COI, IBC, export control, reporting, integrations — was written inside the same architecture. We have never bought a product and patched it into the suite.
That has a specific practical consequence. An administrator who learns the shape of one module already knows the shape of the next. An award keeps the proposal’s history rather than starting a fresh record. A protocol links to the proposal and the award it belongs to, because they live in the same place.
Cayuse is widely experienced as a modular ecosystem — a set of capable products that cover the lifecycle, some of which arrived through acquisition. Institutions running several of them frequently describe the coordination between products as their own responsibility rather than the vendor’s.
Neither approach is wrong. But you are choosing which one you want to be responsible for, and it is worth choosing deliberately rather than discovering it after signature.
The question to ask in the demo
Both systems will show you a beautiful proposal workflow. The question that separates them is the boring one:
When we need this form to be different, who changes it?
If the answer involves the vendor, or a consultant, or a change request with a lead time, then that cost is not part of the implementation. It is part of every year you own the system. Sponsored programs offices change forms constantly — a new sponsor requirement, a new internal approval, a routing step someone has to add before a deadline.
In Streamlyne, the institutional form builder and the reporting tool are both designed for administrators rather than developers. That single design decision is the one that shows up in your budget rather than in a demo.
The second question is the one an assembled suite has to answer and a single codebase does not: show us one record moving through every module you are quoting us. Take a real proposal, route it for internal approval, award it, set up the subaward, and then open the compliance protocol attached to the same project. Ask to see it done live, in one sitting, without anyone re-keying an identifier or exporting a spreadsheet in between. Products that grew up in different companies usually meet at a nightly sync rather than at a shared record, and a nightly sync is invisible in a scripted demo and very visible on a deadline day.
Ask what happens when that sync fails, too. Who notices — you, or them? Is a failed transfer a support ticket you file, or an alert somebody on their side already has? The answer tells you who owns the seam, and the seam is the part of a modular suite you actually live with.

AI, and what it is honestly for
Lyn is built into Streamlyne Research and does three things:
- Drafts budgets from the justification and the sponsor’s rules, so the first version of a complex budget takes minutes rather than an afternoon.
- Redlines agreements against your institution’s own policy positions, proposing replacement language and citing the policy it reasoned from.
- Answers questions in plain language across proposals and records, inside the module you are already in.
That is the whole list. Lyn does not file RPPRs and does not check disclosures — those are not shipping capabilities and we will not claim them. We would rather you find the boundary here than in month four of an implementation.
The citation on the contract redline is the part worth pressing on in any AI demo, from any vendor. A suggestion you cannot trace is a suggestion your contracts officer has to redo from scratch, which makes it worse than no suggestion at all.
Funding discovery, which is not usually in the comparison
FundFit comes with the suite: AI matching of funding opportunities to each researcher’s actual work across federal, foundation and corporate sponsors, with the reasoning behind every match written out, eligibility screened before anything reaches a researcher, and matches pushed into Slack, Teams or an email digest.
This is not a category most eRA comparisons include, because most eRA vendors do not have it. If your institution is currently paying separately for a funding database, it belongs in the total-cost comparison.
Integrations
An eRA system that cannot talk to HR and Finance is not a system of record — it is another place to type things.
We were a technology consultancy before we were a software company, and integrations are the part of this work we have done longest. Institutions run Streamlyne alongside Workday, Oracle Financials, Oracle e-Business, PeopleSoft HR, Banner HR, Banner Financials, One Solution and homegrown systems, over ETL flat files on a nightly batch or REST APIs in real time. Switching, if you decide to
Streamlyne runs alongside your existing system, module by module, on your timeline. There is no big-bang cutover in that plan, and no year of parallel data entry at the end of it either. Awards, proposals and protocols keep their history. You can export everything in standard formats at any time, so your data is never held hostage to a renewal.
Most institutions begin with the module costing them the most time — pre-award for one office, IRB for another, reporting for a VP who cannot get a straight answer about the portfolio — run it beside the legacy system until it has clearly won, then take the next one.
What we are not claiming
We are not claiming Cayuse is a bad product, that its customers are unhappy, or that every institution should switch. Plenty of offices run it well.
We are claiming something narrower and more testable: that a single unified platform, configurable by your own staff, with reporting and AI and funding discovery in the same system, costs less to own over a decade than a set of coordinated products — and that the difference compounds.
