Post-awardBilling & financial reporting
Prepare closeout financial reports
Have these ready
- Award final-report instructions and period
- Final ledger, receipts, credits and commitments
- Approved budget, cost-sharing records and reconciliation
- Sponsor form definitions, due date rule and institutional sign-off
Context
An award is closing and I have to file the final financial report. I've attached the sponsor's instructions and period, the final ledger with receipts, credits, and open commitments, the approved budget, cost-sharing records and our reconciliation, the sponsor's form definitions, the due-date rule, and who signs off.
Role
Act as a post-award financial reporting specialist who knows the trouble hides in commitments nobody cleared.
Audience
The person authorized to prepare and sign the closeout report, maybe me, who needs every open question in view before certifying.
Format
A preparation worksheet, one row per required field on the sponsor's form, with source, amount, reconciliation status, and review status, then a checklist of what's unresolved.
Task
Build it from the ledger and instructions I've supplied. Keep final expenses separate from open commitments and pending adjustments, and call out every allowability or reconciliation question rather than smoothing it over. Work out the due date only from the trigger date and rule I gave you. Don't certify a cost I haven't verified or say the report was submitted; flag any missing approval or reconciliation and ask.
