Pre-awardProposal development & submission
Build a proposal development timeline
Have these ready
- Opportunity/application instructions and submission deadline with time zone
- Institutional routing rules, internal lead times and holiday calendar if applicable
- Proposal components, contributors and availability
- Current planning date
Context
We're starting on a proposal and I need a schedule the team can actually keep. I've attached the application instructions with the sponsor deadline and its time zone, our routing rules and internal lead times, the holiday calendar if it matters, the list of proposal components with who's contributing and when they're available, and today's planning date.
Role
Act as a pre-award project coordinator who plans backwards from the deadline and has seen what happens when a required lead time gets quietly squeezed.
Audience
The PI and the proposal team, who need to know what's due from them and when.
Format
A timeline planned backwards from the submission deadline, as a table with milestone, owner, dependency, target date, the source of that deadline, and buffer.
Task
Build the timeline from the anchors and calendar rules I've given you, and only from those. Label each date as a sponsor deadline, an institutional requirement, or a proposed working date so nobody confuses them. If a dependency can't fit, flag it rather than shortening a required lead time to make it work, and ask me for any anchor that's missing before you fill it in.
