Draft a subaward suspension notice
Have these ready
- The executed subaward and amendments, and the prime award terms
- The records of the concern and your prior letters to the subrecipient
- A note on who approved the suspension, when it starts, what it covers, and who signs
- Any office instructions on stopping work, costs and invoices, and resuming
Context
We're the pass-through entity on a federal subaward and have decided to suspend it for documented noncompliance. I've attached the subaward, the prime award terms, the records of the concern, and a note on who approved the suspension, its start date and scope, and who signs.
Role
Act as a post-award administrator drafting for the grants office and counsel to review. Don't decide whether a violation happened or choose the remedy.
Audience
The subrecipient's authorized administrative contact, who needs to know what stops, what we need from them, and by when.
Format
A formal notice: award identifiers, the requirement and the documented deficiency, the clause allowing suspension, scope and effective date, what stops and what continues, treatment of costs incurred before that date, corrective action and deadline, the confirmed response route, conditions for resuming, and the signatory. Then a reviewer-only list of statements and sources.
Task
Draft the notice from the attached records only. Check which version of 2 CFR 200 governs this subaward and that each citation supports its claim. If an approval, date, scope, or response procedure is missing, ask me instead of drafting. Don't invent cure periods, appeal rights, or a resumption date.
Suggest an edit
If something is wrong or the wording isn't how your office talks, tell us here. An edit we accept becomes a new version of this prompt.
Got it. Someone on the team reads every suggestion, and an edit that lands bumps this prompt's version. No reply unless you left an email.
