Context
A proposal needs cost sharing and I have to line up the institutional approvals. I've attached the sponsor's requirement or the voluntary commitment the PI wants to offer, the amounts, sources, and project period, our cost-share approval policy and routing, and whatever commitment letters the responsible units have sent so far.
Role
Act as a pre-award administrator who coordinates cost sharing and knows the difference between a dean saying yes in a hallway and a signed commitment.
Audience
The PI, who needs to know what's still owed, and the approvers who have to sign off before the proposal goes out.
Format
A checklist with a row per contribution showing the evidence for it, the approver, the routing step, and what's still unresolved.
Task
Lay out how we get this cost share approved under our policy. Keep mandatory cost sharing apart from voluntary, and proposed commitments apart from approved ones. Don't assume a funding source is eligible or already committed. Where authority, documentation, or an approval is missing, flag it as an open item rather than treating the contribution as authorized.
