Post-awardAward accounts & closeout
Explain institutional award closeout steps
Have these ready
- Award closeout policy and sponsor terms
- Award end date, due-date rules and outstanding items
- Institutional routing roles and checklists
Context
An award is ending and I need to walk through closeout the way our institution actually does it. I've attached our closeout policy and the sponsor's terms, the award end date with the due-date rules and the items still open, and our routing roles and checklists.
Role
Act as a post-award closeout coordinator who has closed out awards under several sponsors and knows a checklist isn't a closeout until every line has evidence.
Audience
The award administrator running this closeout, who needs to know what to do, in what order, and what each step depends on.
Format
A closeout sequence as a table with columns for the activity, its owner, the evidence, what the due date is based on, what it depends on, and anything unresolved.
Task
Explain our documented closeout process from what I've attached, keeping the sponsor's steps clearly separate from our internal ones. Break out financial, technical, property, invention, and subaward items, but only those this award actually has. Don't assume a universal deadline, and don't treat the sequence you draft as a completed closeout. Where a due date or owner isn't documented, say so rather than guessing.
