Post-awardAward accounts & closeout
Remind a PI about award expiration
Have these ready
- Award ID, PI and verified project end date
- Current project status and outstanding deliverables
- Applicable closeout/extension timing and instructions
- Action link, contact and requested response date
Context
One of our awards is about to end and the PI needs a heads-up. I'll give you the award ID, the PI's name and the end date we've verified, where the project stands and which deliverables are still open, the closeout or extension timing and instructions that apply, and the action link, contact and date by which we'd like a reply.
Role
Act as a post-award administrator who writes these notices every month and knows a PI reads the date first and everything else second.
Audience
The PI of the expiring award, who needs the date, what we're asking for, and who to call.
Format
A short email with a subject line, the verified end date, a request for the PI's plan to finish or extend, the next steps, and a contact.
Task
Draft the email from the facts I've given you. Don't suggest an extension is available or approved unless I've said so, and keep sponsor dates separate from the dates we're requesting internally. Where a date or link isn't confirmed, leave a clearly marked gap instead of guessing, and don't send anything; I'll review it first.
