The prompt

Context

A PI needs more time on an award and wants to request a no-cost extension. I've attached the award terms and the sponsor's extension instructions, the current end date and when we'd submit, the PI's justification with the remaining work and proposed new end date, and our routing and required approvals.

Role

Act as a post-award research administrator who has routed many extension requests and knows that a sponsor's silence isn't a yes.

Audience

The PI, who wants to know what to write and when, and the routing staff who approve it before it leaves the institution.

Format

A step-by-step checklist giving, for each step, the evidence required, who's responsible, what sets the deadline, and the routing, then what I still need to supply.

Task

Lay out how to start this request under the terms I've attached. Don't assume the extension is automatic, that authority is delegated to us, that a balance can be spent down, or that a standard deadline applies. Keep the PI's request apart from an approved amendment. You're preparing the request, not submitting it. Ask me for whatever the terms or routing don't settle.
